Booking terms, cancellation and privacy
The terms below are taken from XO Tours' published policies. Anything marked [confirm] still needs XO Tours' text before publishing.
What is your cancellation policy?
For parties of 1 to 10 people: there is no penalty for cancelling your tour if you provide us with at least 5 days notice. Cancellations made between 1 and 4 days of your tour date will be charged a 20% cancellation fee. If you cancel on the day of your tour, there will be a 50% late cancellation charge.
For groups over 10 people: there is no penalty for cancelling your tour if you provide us with at least 2 weeks notice. Cancellations made between 8 and 13 days of your tour date will be charged a 20% cancellation fee. There will be a 50% late cancellation charge for any cancellations made within 7 days of the tour date.
No shows on the day of the tour due to flight delays, flight cancellations, or late arrival from other tours will also incur a 50% late cancellation charge.
If we cancel a tour due to bad weather and you have already paid for the tour in full or placed a tour deposit, we will refund your payment in full.
Please keep in mind that PayPal refunds exclude PayPal’s transaction fee, which varies by country and can be up to 4.5% in Vietnam. Any PayPal refunds made 6 months after a payment will also incur a $4.99 service charge, because PayPal does not allow us to issue refunds directly to a payment beyond that time.
Do I need to put down a deposit or prepay to book a tour?
Parties of 4 people or less that have a confirmed hotel reservation do not have to put down a deposit to book a tour. For groups of 5 guests and up, private tours, guests that book the video option, and guests that are not staying at a hotel, we require a 20% deposit in order to reserve a booking.
If you break up a larger group in order to avoid paying the deposit, we will not be able to guarantee that everyone in your party will be put in the same tour group.
What payment methods do you accept?
We currently only accept cash payment in either Vietnamese Dong or US Dollars on the day of the tour. Bills must be in good condition without tears or markings. If you want to prepay for your tour(s) by credit card and you did not choose the online payment option at the time of booking, you can request a Onepay or PayPal invoice from us. Payment using this method can only be accepted if payment is received at least 1 day before your tour date.
Our conversion rate is 1 USD = 26,000 VND, which is favourable to guests versus the official rate. Current prices per person:
- The Sights of Saigon: $58 or 1,508,000 VND
- Saigon by Night: $58 or 1,508,000 VND
- The XO Foodie: $82 or 2,132,000 VND
- Saigon Through the Lens: $75 or 1,890,000 VND
Can I book your tours on Viator, TripAdvisor, GetYourGuide, Klook or other online travel agents (OTAs)?
NO. Our tours are exclusive and cannot be booked on any other website. Although OTAs make booking tours and activities easy for customers by offering a wide selection all on one site, they are horrible for small businesses. OTAs charge commissions of up to 35%, which forces businesses to either make almost no profit, raise their prices, or cut corners on quality. OTAs prioritise cheap experiences over quality, and our principles are the complete opposite to this. The only way to book our tours is through our website or by contacting us directly.
XO Tours Accident Insurance: terms and conditions
As of May 16th, 2012, XO Tours is proud to announce that we are the only motorbike company in Ho Chi Minh City that includes accident insurance on all our tours. Each of our guests is insured for up to $10,000 or 227,000,000 Vietnamese Dong, which will cover most major medical procedures in Vietnam.
XO Tours has signed a special, exclusive contract with a top tier insurance company in Ho Chi Minh City in order to provide this unique insurance policy to all our valued guests. Most insurance policies in Vietnam are not worth the paper they are printed on, as they always have a “proof of fault” clause in their policies. This means that you have to prove that an accident is not your fault in order to receive coverage. In Vietnam this is almost impossible to do, especially for foreigners involved in accidents, as the police usually side with the party they feel is “poorer”. We worked with our insurance company for over a year to finalise a contract that we felt was acceptable to both parties. The insurance policy we offer to our guests does not require “proof of fault” and therefore will cover you no matter what.
This coverage is guaranteed and is in effect the moment you go on one of our tours and ends once the tour is over. You are insured for any bodily injury that is a direct result of an accident that occurs while riding on our motorbikes. Theft or loss of property is NOT covered.
Even though our insurance offers comprehensive health coverage, we still recommend that all travellers to Vietnam buy a good travel insurance policy. Most travel insurance policies will insure you if you are riding pillion (as a passenger).
With XO Tours Accident Insurance you are not required to be preapproved for any medical care before you are treated, so it is a great supplement to other travel insurance policies. In the event of an accident that requires medical care, we will take you to the top emergency clinics and hospitals in Ho Chi Minh City and do our utmost to see that you are offered the best medical care available in Vietnam.
We are proud to say that XO Tours has never been involved in a single accident in the thousands of tours we have gone on since the inception of our company. However, we understand that as safe as we try to be, we cannot control the actions of other drivers on the road, and there eventually may be an unfortunate situation in which one of our guests is injured while on one of our tours. When joining our tours, each guest should understand the risks associated with riding a motorbike in Vietnam.
